CorpoHR is a Cloud-based HR Software developed by Verge Inc. We at CorpoHR understand that your privacy is very important. To better protect your privacy, we are always committed to giving you transparency of our privacy practices and control over your data in connection with CorpoHR's Services.

This privacy policy applies to all data from visitors, clients (collectively "Users", "You"), Verge Inc. suite of software and applications includes but not limited to, online services, mobile services, integrations and all other services that Verge Inc. fulfills (collectively, the "Services").

CorpoHR may amend this Privacy Policy from time to time. Use of information we collect now is subject to the Privacy Policy in effect at the time such information is used. If we make material changes in the way we use Personal Information, we will notify you by posting an announcement on our Service or sending you an email. Users are bound by any changes to the Privacy Policy when they use the Service after such changes have been first posted.

What Information Does CorpoHR Collect?

CorpoHR receives and stores personal and company information you enter on our Service. The types of Personal Information collected are as follows:

PERSONAL IDENTIFICATION

First and Last name, Addresses, Telephone numbers, Social Security number, Birthdays, Pictures and anything that pertains to the user to identify for HR purposes.

PERSONAL ONLINE CREDENTIALS

Email addresses, Usernames, Passwords, Security questions, Account tokens to properly secure the client's account and the whole service itself.

LOCATION DATA (Important for Mobile App Features)

Real-Time Location Data: Our mobile application collects precise location information (GPS coordinates, latitude and longitude) when you use attendance tracking features such as:

  • Check-In/Check-Out: We collect your exact location when you clock in or out to verify your attendance location and support geofencing features
  • Location-Based Attendance: We use your real-time location to enable location-verified time tracking and e-Track services
  • Address Information: We reverse-geocode your coordinates to display human-readable addresses for attendance records

Purpose of Location Collection:

  • Verify employee attendance at designated work locations
  • Support geofencing to ensure check-in/check-out occurs within permitted areas
  • Provide location history for attendance records and reporting
  • Enable client-site attendance tracking for employees working at multiple locations

Location Permissions:

  • The app requests location permissions (ACCESS_FINE_LOCATION and ACCESS_COARSE_LOCATION) when you first use attendance features
  • Location data is collected only when actively using check-in/check-out features, not continuously in the background
  • You can deny location permissions, but attendance tracking features will not function properly
  • Location data is immediately transmitted to our secure servers and is not stored permanently on your device

User Control:

  • You can revoke location permissions at any time through your device settings
  • Revoking permissions will prevent you from using location-based attendance features

INTERNET CONNECTIVITY

The app requires internet access to sync attendance data, retrieve company information, and communicate with our cloud servers.

DEVICE AND STORAGE ACCESS

The app may request access to your device's storage to:

  • Select and upload profile pictures or documents
  • Cache data for offline viewing (non-sensitive information only)

BANK INFORMATION

Account Numbers and Routing numbers to process payments, invoices, and provide payroll services (collected only through the web platform, not the mobile app).

COOKIES AND SESSION DATA

Cookies are files with small amounts of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a website and stored on your computer's hard drive. Like many sites, we use "cookies" to collect information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Service.

How We Use Your Location Data

We use location data for the following specific purposes:

  1. Attendance Verification: To confirm that employees are checking in/out from authorized locations
  2. Geofencing: To enable automatic attendance tracking when entering/leaving designated work areas
  3. Reporting and Analytics: To generate location-based attendance reports for HR and management
  4. Client-Site Tracking: For employees who work at multiple client locations, we track which location attendance is recorded from
  5. Compliance and Auditing: To maintain accurate records for labor law compliance and auditing purposes

We do NOT:

  • Track your location when the app is not actively in use
  • Share your location data with third parties for advertising or marketing purposes
  • Use location data for purposes unrelated to attendance and HR management

Data Storage and Retention

Location Data: Location data associated with check-in/check-out events is stored on our secure cloud servers and retained for the duration of your employment and as required by labor laws and company policy. Specific retention periods:

  • Active attendance records: Retained while you are employed
  • Historical records: Retained for 7 years after employment termination for compliance purposes
  • You may request deletion of your location data by contacting support@corpohr.com, subject to legal retention requirements

Other Personal Data: All other personal information is retained as outlined in the "What is my control over my data?" section below.

Is My Company Information Secure?

CorpoHR has implemented World Class Security standards to prevent unauthorized access, maintain data accuracy, and ensure the correct use of information. We have put in place appropriate physical, electronic, and managerial procedures to safeguard and secure the information we collect online.

Access to your data through your CorpoHR account is protected by a password for your privacy and security. We have also implemented SSL Encryption paired with HTTPS technology to provide top-notch security and secure transmission over the cloud to and from your device or browser. These technologies add an extra layer of security by encrypting your data when transmitting to the cloud.

Mobile App Security:

  • Location data is encrypted during transmission using SSL/TLS
  • Authentication tokens are stored securely using platform-specific secure storage mechanisms
  • The app validates server certificates to prevent man-in-the-middle attacks

You need to prevent unauthorized access to your account and Personal Information by selecting and protecting your password appropriately and limiting access to your device by signing off after you have finished accessing your account.

What is My Control Over My Data?

As clients and users of CorpoHR, you are classified as Data Subjects (collectively "Users", "You") and are the owner of your data. Verge Inc. (collectively, the "Services") and its affiliates act as Data Processor and Data Controllers with the responsibility to grant Data Subjects the right to access, modify, correct, or delete personal information controlled by Verge Inc. and its affiliates as necessary.

Your Rights:

  • Access: Request a copy of all personal data we hold about you
  • Correction: Update or correct inaccurate information
  • Deletion: Request deletion of your data (subject to legal retention requirements)
  • Portability: Request your data in a machine-readable format
  • Opt-Out: Withdraw consent for location tracking (note: this will disable attendance features)

CorpoHR will retain the personal information you provide while your account is in existence or as needed to provide you the Service. We may retain Customer or User information if retention is reasonably necessary to comply with our legal obligations, meet regulatory requirements, resolve disputes between Customers, Users, or related parties, prevent fraud and abuse, or enforce this Privacy Policy or our Terms of Use Agreement.

In response to lawful requirements, CorpoHR will provide data to disclose personal information to lawful requests by public authorities, including but not limited to meeting national security, law enforcement requirements, or any lawful proceedings regarding this data.

Account Deletion: If you terminate your account, your complete company information will be removed from the site and deleted from our servers, subject to applicable retention requirements. Should you ever decide to delete your CorpoHR account, you may do so by sending us a request at support@corpohr.com.

Third-Party Sharing and Services

We do not sell your personal information to third parties. We may share your data with:

Service Providers: Cloud hosting providers, analytics services, and infrastructure providers who assist in operating our service Legal Requirements: When required by law, court order, or governmental authority Business Transfers: In connection with a merger, acquisition, or sale of assets Your Employer: Your attendance data, including location information, is shared with your employer/company administrators who use CorpoHR

All third-party service providers are contractually obligated to maintain the confidentiality and security of your information.

Children's Privacy

CorpoHR is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected information from a minor, please contact us immediately at support@corpohr.com.

Data Protection Compliance

EU-U.S. Privacy Shield Framework (Note: Privacy Shield was invalidated in 2020)

UPDATE NEEDED: The Privacy Shield framework is no longer valid. If you serve EU customers, you should update this section to reference Standard Contractual Clauses (SCCs) or other valid data transfer mechanisms under GDPR.

California Consumer Privacy Act (CCPA)

If you are accessing CorpoHR from outside Singapore, please be aware that your information may be transferred to, stored, and processed in Singapore and other countries where our servers are located. By using our Service, you consent to the transfer of your information to countries outside your country of residence, which may have different data protection rules.

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last modified" date. We encourage you to review this Privacy Policy periodically.
